Executive Board Minutes

January 21, 2003

Location: The Nations Capitol Bass Federation (NCBF) Executive Board met in Poolesville, Maryland.

Call To Order: The meeting was called to order at 7:00 PM.

Roll Call: The three Board members present were Alan Mullis, Larry Yates, and Chuck Walker. Board guests/launch committee members were Keith Wright, and Kevin Miller.

Treasurer’s Report: Keith Wright (2002 Treasurer) filed the following report listing an income for year ending December 31,2002  of $38,067 with expenses totaling $27,279.10, for a net balance of $10,787.90.

Keith and Alan reported the new Treasurer for 2003, Phil Bloom, could not fulfill the duties to which he was elected. The Board asked Keith to stay on through 2003 and he accepted. A motion was presented to place Keith in the position by Larry Yates, 2nd VP and 2nd by Chuck Walker. The motion passed.

Tax Form 501c3: Keith Wright, Alan Mullis and Chuck Walker have reviewed the forms and determined the best way to file the paperwork with the IRS is to hire an accountant. Chuck will contact an accountant to prepare the forms for the Federation. This process will address all IRS issues for 2002 to include the District of Columbia’s requirements.

NEW BUSINESS:

Galyans Fall Extravaganza: Alan Mullis and Kevin Miller requested and attended a meeting with the Managers of the two Gaylan’s stores. The meeting was to discuss the spring fishing show at the Fair Lakes store on January 31st through February 2nd. The NCBF only requirement is to have our members directing shoppers to various events in the store.

Membership Meeting: A full membership meeting was held on December 15, 2002 at the Public Service Training Academy, 9710 Great Seneca Highway, Germantown, Maryland at 10 AM. Alan discussed our standing with B.A.S.S., the State team issue for 2003, youth, constructing a trout pond, membership and the awards books.

NCBF Brochures: Danny Kelly has donated paper, printing and staff to develop a flyer of the NCBF. The final editing has been done and was forwarded to Danny for printing. 500 copies were delivered to Alan for the Washington Boat Show on February 13th through the 17th. Please call John Freeze (301-831-9403 evenings) to help pass out Brochures at the show.

OLD BUSINESS:

Washington Boat Show. The event will happen at the Washington, D.C. Convention Center from the 13th through the 17th of February. Be prepared to donate time to staff the booth during the event. We will need to cover the booth from opening to closing each day.

Tackle Donations: Please save your fishing tackle for distribution to the kids we enroll in the NCBF. Please bring anything you can give to the kids to include, rods, reel, lures, bags, etc. If a rod need an eye or lures need hooks; we will try to fix it. We will collect the equipment at the December Member meeting. Chuck Hartzman is the collection manager.

Tournament Committee: The work has been completed for the NCBF’s  2003 tournament trail. It is scheduled for April 27th, June 29th, and the final one in October. This action included getting the park permit, securing a Bond, plaques and arrangements to use the parking lot at the Anacostia Park ramp. The tournament committee reviewed all information available to avoid as many other events on theses dates, as possible. They concluded this schedule works best for our members. Larry Yates has compiled an ongoing schedule for your use (attached).

Next Full Membership Meeting: The next and final all Member meeting for 2002 is scheduled for December 15, 2003 at the Public Service Training Academy, 9710 Great Seneca Highway, Germantown, Maryland at 10 AM. All current members are requested to be there.

Next Executive Board Meeting: The next Board meeting is scheduled on February 20, 2003.

The meeting was adjourned at 9:15 PM.

Respectfully submitted,

Chuck Walker/NCBF Acting Secretary
